Pet Pro is an app that lets pet owners access pet health care services seamlessly, endorsed and entrusted by their veterinarian. They can contact their vet via messages and benefit from video consultation in between on-site appointments. In addition, pet owners can use a reward system for medications. Both pet owners and vets have easy access to the medical history of the pet at all times. To perfectly meet the needs of all users, BI X worked closely with clinics and pet parents during the development of the app. With pet clinics across the US being keen to join the PetPro network, PetPro is currently being introduced to the US market.

1. How we use your personal data

We handle your personal data in order to process your application, i.e. in order to assess your suitability for the position to be filled and to perform administrative tasks relating to your possible hiring like setting appointments or booking transport or hotels.

2. Who has access to your personal data

Given Boehringer Ingelheim’s corporate structure, various group companies may receive your personal data in order to process your application:

  • The company to which you are applying for a position
  • Other group companies whose responsible departments or HR departments are involved in processing your application
  • Boehringer Ingelheim International GmbH as the operator of recruitment
  • Technical service providers that process data under the supervision of Boehringer Ingelheim

Group-wide data processing: As a group with global operations, Boehringer Ingelheim group companies work closely together. Therefore, your application is processed by the responsible department and the HR department which usually does not only consist of employees of the company you are applying for. Because of this, employees of other group companies will also receive your data in order to process your application. In particular, the companies listed in the annual report belong to the Boehringer Ingelheim group, which can be found there.

Example: You are applying for a position at BI X. Members of the responsible HR department in Germany (Boehringer Ingelheim GmbH ) are involved in handling your application. As a result, employees from both companies receive and process your personal data.

If you are hired, your data is transferred from the recruitment platform to the HR administration system of the respective Boehringer Ingelheim company with which your employment relationship is formally established.

Service providers: Service providers commissioned to assist with the application process (e.g. with technical support for recruitment) are carefully selected. In order to ensure that your data is handled confidentially and securely, contracts with service providers contain provisions that safeguard your data and service providers are monitored regularly to ensure compliance with these provisions.

Additionally and to the extent required by mandatory law, governmental entities may access your data to examine our practices and for other lawful purposes

Data processing for applications outside of the European Economic Area: If your residence is located in the European Economic Area and you are suitable for a company established outside of this area (e.g. in China or the USA) for a position, please note that the use of your data by this group company is not subject to European data protection regulations, and as such, a different level of protection may apply.

3. Storage and deletion of your data

With your consent your data is stored for 12 months after the final decision about your application to be able to notify you of positions at Boehringer Ingelheim that may be of interest to you.

You can withdraw your consent at any time, particularly by sending an email to HRjoinbix.DE@boehringer-ingelheim.com.

At any time, you can ask us to delete the data that you send us. Please note that this may have an impact on your current applications. You may withdraw your application at any time. Your data and your application are deleted then in accordance with applicable law.

4. Security of your data

We consider the security of your personal data a top priority. Accordingly any information that you share with us is kept secure and strictly confidential in accordance with this information. We take reasonable precautions to protect personal data from loss, misuse and unauthorized access, disclosure, alteration and destruction.

5. European notice

If your application is suitable for a position with a company established in the European Economic Area, the following additionally applies:

Sensitive data: Please do not send us any sensitive data. This particularly includes data regarding your health, religion, membership in a labour union or political party, or sex life.

Data use by companies domiciled outside of the European Economic Area: If you are suitable for a position with a company established in the European Economic Area (e.g. in Germany) and your data is also processed by a group company outside of the European Economic Area (e.g. in the USA), we ensure an adequate level of protection of your data in compliance with European data protection regulations.

  • determine whether a user has accepted which category in the cookie banner
  • maintain the status of the user for all page requests.

The lifetime of essential Cookies we use extends from the respective session up to one year.

3.2 Cookies for Website Optimization

Based on your consent (Art. 6 (1) a GDPR) we use Cookies to make our websites work more efficiently, as well as to recognize your device on subsequent visits to get information and statistics on your usage. You may withdraw your consent at any time without detriment and with future effect. To do so, please amend your settings here.

4. Further purposes for which we process your personal data

We process your personal data to:

  • meet our legitimate interests, including to:
    1. complete a corporate transaction (e.g., corporate restructuring, sale or assignment of assets, merger); and
    2. protect our rights or property, enforce our terms of use and legal notices, and for the establishment, exercise and defence of legal claims.
  • meet our legal obligations, any court order or other binding decision;
  • with your consent for other purposes, such as, the subscription to a newsletter; in this case you have the possibility to withdraw your consent at any time.

5. Data Transfer

We may share personal information with third parties.

5.1 Reporting obligations to regulatory authorities and enforcement of rights

We may share personal data in pharmacovigilance cases as specified in Section 6.

In order to protect our rights or the rights of third parties, we may also disclose data to rights holders, consultants and authorities in accordance with legal provisions.

5.2 Service provider

We engage service providers to process your personal data for the purposes described in this data protection information. These service providers process the data only on our behalf, in accordance with our instructions and under our control in accordance with this data privacy declaration.

5.3 Boehringer Ingelheim companies

As part of a global group of companies, we involve other Boehringer Ingelheim companies that support us in data processing. These group companies process the data exclusively for the purposes stated in this data protection declaration.

5.4 Data transfer to recipients outside the EU

Some of these service providers and Boehringer companies process personal data outside the EU. In these cases, we ensure an adequate level of data protection to comply with European law (usually through EU standard contractual clauses published by the European Commission).

6. Specific Privacy Notice for Pharmacovigilance

If you report adverse events or other pharmacovigilance relevant information to a Boehringer Ingelheim product we will use and share this data solely for pharmacovigilance purposes. (Pharmacovigilance is the detection, assessment, understanding and prevention of adverse effects or any other medicine-related problem.)

All reports will be shared with Boehringer Ingelheim International GmbH who is operating the global pharmacovigilance database.

Boehringer Ingelheim is obliged to report pharmacovigilance relevant information to health authorities worldwide (including to countries that may have another level of data protection compared to the EU). Legal basis: Art. 6 (1) c), and for transfers outside EU Art. 6 (1) f) and Art. 49 (1) e) GDPR.

The reports will contain details about the incident but only limited personal data:

  • For Patients, the report will only contain, age, gender and initials as provided, but never the patient's name.
  • For the reporting individuals, the report will include the name, profession (e.g. physician, pharmacist), initials or address, e-mail and phone number as provided. The contact information is required to be able to follow-up with the reporter to gain high quality and complete information on adverse events. If the reporter does not wish to provide his contact details to Boehringer Ingelheim or authorities, “Privacy” is entered in reporter's names field.
  • Where your data is shared with other Boehringer Ingelheim companies, business partners or service providers outside of the EU, we will provide an adequate protection of personal data.
  • As reports about adverse events are important for public health reasons, reports are kept for minimum of 10 years after withdrawal of the product in the last country where the product is marketed.

7. Job Applications

BI X welcomes your interest in working for our group. Before you proceed with your application, we would like to briefly notify you of how we process and protect your personal data.

7.1 How we use your personal data

We handle your personal data in order to process your application, i.e. in order to assess your suitability for the position to be filled and to perform administrative tasks relating to your possible hiring like setting appointments or booking transport or hotels.

BI X also uses your data to inform you about additional open positions at group companies.

If you are already employed at a company of the Boehringer Ingelheim group, internal privacy regulations may also apply.

The term “personal data” refers to all data that can be attributed to you personally and that you have provided to us as part of your application.

7.2 Who has access to your personal data

Given Boehringer Ingelheim’s corporate structure, various group companies may receive your personal data in order to process your application:

  • The company to which you are applying for a position
  • Other group companies whose responsible departments or HR departments are involved in processing your application
  • Boehringer Ingelheim International GmbH as the operator of recruitment
  • Technical service providers that process data under the supervision of Boehringer Ingelheim

Group-wide data processing: As a group with global operations, Boehringer Ingelheim group companies work closely together. Therefore, the responsible department and the HR department, which usually does not only consist of employees of the company you are applying for, process your application. Because of this, employees of other group companies will also receive your data in order to process your application. In particular, the companies listed in the annual report belong to the Boehringer Ingelheim group, which can be found there.

Example: You are applying for a position at BI X. Members of the responsible HR department in Germany (Boehringer Ingelheim GmbH & Co.KG) are involved in handling your application. As a result, employees from both companies receive and process your personal data.

If you are hired, your data is transferred from the recruitment platform to the HR administration system of the respective Boehringer Ingelheim company with which your employment relationship is formally established.

Service providers: Service providers commissioned to assist with the application process (e.g. with technical support for recruitment) are carefully selected. In order to ensure that your data is handled confidentially and securely, contracts with service providers contain provisions that safeguard your data and service providers are monitored regularly to ensure compliance with these provisions.

Additionally and to the extent required by mandatory law, governmental entities may access your data to examine our practices and for other lawful purposes

Data processing for applications outside of the European Economic Area: If your residence is located in the European Economic Area and you are suitable for a company established outside of this area (e.g. in China or the USA) for a position, please note that the use of your data by this group company is not subject to European data protection regulations, and as such, a different level of protection may apply.

7.3 Storage and deletion of your data

With your consent your data is stored for 12 months after the final decision about your application to be able to notify you of positions at Boehringer Ingelheim that may be of interest to you.

You can withdraw your consent at any time, particularly by sending an email to HRjoinbix.DE@boehringer-ingelheim.com.

At any time, you can ask us to delete the data that you send us. Please note that this may have an impact on your current applications. You may withdraw your application at any time. Your data and your application are deleted then in accordance with applicable law.

7.4 Security of your data

We consider the security of your personal data a top priority. Accordingly, any information that you share with us is kept secure and strictly confidential in accordance with this information. We take reasonable precautions to protect personal data from loss, misuse and unauthorized access, disclosure, alteration and destruction.

8. Deletion

BI X processes your personal data for as long as necessary for the purpose of the processing, which mainly is the provision of our services requested by you. This means for example that we send you newsletters for as long as you did not withdraw your subscription.

In general, we will delete data related to your application after 12 months.

9. Your Rights

Subject to limitations in applicable law, you have a right of access, rectification, restriction, erasure, and portability of your personal data, as well as the right not to be subject to automated individual decision-making.

You also have the right to withdraw your consent at any time.

Right to object:

To the extent we base the processing on our legitimate interests, you may opt-out from such processing at any time. You may also object to the processing of your personal data for the transfer to authorities outside the EU described above in Section 5 for pharmacovigilance cases unless the interests of Boehringer Ingelheim prevail.
